Private Provider Registration

Effective July 1, 2026, Private Provider firms seeking to obtain a permit in the Village of Pinecrest must be registered. Miami-Dade County serves as the registrar for municipalities within the County.

Permit Submission Requirements

The Village has streamlined the Private Provider submittal process. A full Private Provider packet is no longer required with every permit application.

The following documents must be submitted as separate PDF files with the applicable permit application:

  • Notice to Building Official of Use of Private Provider (TAB C)
    Required for each project using a Private Provider.
  • Plan Review Compliance Affidavit (TAB D)
    Required when the Private Provider is performing plan review.
  • Fee Owner’s Authorization to Building Official for Use of Private Provider (TAB G)
    Required when the fee owner’s contractor signs the Notice to Building Official of Use of Private Provider on behalf of the fee owner.

Important: Private Provider documents must be submitted with the permit application in accordance with the Village’s electronic submittal requirements. Documents must be uploaded to eTRAKiT along with the permit application and plans.

Inspections

Once the permit is issued, the Private Provider or listed Duly Authorized Representative (DAR) may proceed with the inspections authorized under the Private Provider process.

Village inspections still required: Inspections related to Public Works, Stormwater, and Zoning must be scheduled directly through the Village of Pinecrest.

Private Provider Inspection Reports

A Standardized Private Provider Inspection Report must be submitted for every inspection performed by the Private Provider or listed DAR.

Reporting Requirements

  • Submit inspection reports within 48 hours so the Village can update the permitting record.
  • Reports must clearly identify the inspection performed and indicate whether the inspection passed or failed.
  • Include reinspection information or notes when applicable.
  • Submit required signed and sealed affidavits promptly for verification.On-Site Requirement.

On-Site Requirements

  • Maintain an inspection log at the jobsite and make it available to the Village upon request.

Audits and Verification

  • The Village may audit Private Provider inspections and request access to the jobsite and applicable records.
  • Missing inspection reports, incomplete documentation, or unresolved inspection issues may delay permit processing, approval, or issuance of required approvals.
